Position Overview:

The Benefits and Payroll Specialist is responsible for efficiently managing all aspects of payroll processing and benefits administration. This role ensures accurate and timely payroll execution and provides support for employee benefits programs, ensuring compliance with relevant regulations and providing excellent service to employees.  

 

Key Responsibilities: 

  • Benefits Administration:
    • Administer employee benefits programs, including health, dental, vision, retirement plans, and any other insurance-related items. 
    • Coordinate open enrollment periods, including communication, distribution of materials, and employee support. 
    • Process benefits enrollment, changes, and terminations in a timely manner.
    • Work with benefits providers to resolve any issues and ensure smooth operations.
    • Support onboarding with benefits orientation for new hires and assist with benefits-related questions. 
    • Maintain accurate and up-to-date benefits records.
  • Payroll Processing: 
    • Prepare and process bi-weekly payroll for all employees, ensuring accuracy and compliance with company policies and legal requirements.
    • Verify timekeeping records and resolve discrepancies. 
    • Process payroll deductions for taxes, benefits, and other withholdings. 
    • Prepare and distribute W-2 forms and other required tax documentation.
    • Address payroll inquiries from employees and provide timely resolutions.
    • Maintain payroll records and ensure confidentiality of employee information.
  • Compliance and Reporting:
    • Stay updated with federal, state, and local regulations affecting payroll and benefits administration.
    • Ensure compliance with applicable laws and regulations, including FLSA, FMLA, COBRA, and ACA.
    • Prepare and submit required reports to government agencies and company management.
    • Assist in audits and provide necessary documentation as required. 
  • Customer Service:
    • Serve as a point of contact for employee questions related to payroll and benefits.
    • Provide excellent customer service by responding to inquiries promptly and accurately.
    • Educate employees about available benefits and payroll processes. 

Qualifications & Skills:

  • Educational background or certification in Human Resources, Business Administration, Payroll, or related field.
  • Minimum of 3 years of experience in benefits and payroll administration with a multi-state payroll environment, specifically CA, OH, and FL.
  • Strong knowledge of federal, state, and local payroll and benefits regulations.  
  • Proficiency in payroll software and HRIS systems, ADP Workforce Now highly preferred.
  • Strong proficiency in basic mathematics and experience with Google Sheets (or similar spreadsheet software) is essential.  
  • Familiarity with leave of absence administration
  • Exceptional verbal and written communication skills, capable of providing clear and constructive feedback to team members at all levels.
  • Strong interpersonal skills for effective collaboration with diverse teams.
  • Extremely organized and has a strong attention to detail and accuracy. 
  • Ability to handle sensitive and confidential information with discretion. 
  • Strong problem-solving skills to address and resolve quality issues efficiently. Ability to suggest and implement effective solutions to improve overall quality and processes. 
  • Proficient in Google Workspace (formerly G Suite) or similar software, including advanced email, meeting, and messaging functionalities. 

Physical Requirements: 

  • This is a remote position, however, it may require in-office attendance for designated meetings, training sessions, and occasional travel to other worksites as needed.  
  • The role routinely uses standard office equipment such as computers, phones, filing cabinets, etc.  
  • Strong visual acuity for reviewing detailed documents and data on computer screens.
  • Manual dexterity for operating a computer, including the use of a keyboard and mouse. 
  • Occasionally required to lift and carry office supplies or equipment up to 20 pounds. 
  • Clear verbal and written communication skills for effective interaction with team members across the organization
  • Flexibility to adjust schedules based on project needs, with occasional requests for additional hours during temporary projects.  
  • Capability to manage tasks that require prolonged periods of focus and concentration. 
  • Ability to handle the physical demands of a standard workweek, which may include occasional overtime, nights, weekends, and holidays, if needed.
